This privacy statement covers all of the 1Place International Limited (“1PL”/”we”/”us”/”our”) website and the 1PL multi-site management service (1 Place). Please read this statement carefully before proceeding to access 1PL. Your use of the 1PL website and 1 Place indicates your agreement to abide by this Privacy Policy and anyTerms & Conditions in effect.

Information Collection

1PL is the sole controller of the information collected on 1 Place and the 1PL website. 1PL may collect information from our users at several different points on our website or 1 Place.

Kinds of Personal Information Collected

The personal information we collect may depend upon the type of product or service you request
from us.

The types of personal information 1PL may collect and hold includes (which can be dependent on the context of collection and the amount of information supplied by a 1 Place user):

  1. Name, address, contact details, birth dates (including for parents/guardians and their child(ren) where the context permits);
  2. Employment information (for example employee ID, payroll and/or salary details);
  3. Usage or technical information about your visit to our website or use of 1 Place, including information provided in registering to use and/or transactions carried out over 1 Place or the 1PL website; and
  4. Records of your communications and interactions with us.

1PL may also collect or hold more sensitive information, usually where provided through 1 Place. This information includes:

  • Health information (including medical history, immunisations, allergies, disabilities or injuries);
  • Racial or ethnic origin; and
  • Criminal records.

In providing this sensitive information to us, you warrant that you are authorised to disclose any sensitive information of a third party that is provided and we are authorised to collect and manage this sensitive information in line with the relevant laws and this Privacy Policy.

How Personal Information is Collected: Indirect Collection

We may collect your information when you authorise someone else to act on your behalf or provide us with your personal information. For example, a client of 1 Place may provide us with your personal or sensitive information when using 1 Place for the management of its business (for example to fill out a child care centre accident report). Where personal information is provided to 1PL by its clients, 1PL relies on its clients being having obtained the necessary consent of the individual or relevant parent/guardian/attorney for the collection, use and disclosure of the personal information to and by 1PL in accordance with this Privacy Policy.

Where 1PL holds personal or sensitive information provided indirectly by its clients via 1 Place, 1PL does not use or disclose this information for direct marketing or for any secondary purpose unrelated to the purpose of its original collection.

Comments

In order to enhance their use of our website or 1 Place, users can choose to leave comments on particular articles of interest. To leave a comment, users must submit information including a valid email address. 1PL uses this information to screen out users who leave comments prohibited by our terms and conditions of use, and will not pass this information to any other organization without your consent.

Mailing List

1PL may launch a mailing list for some or all of 1 Place. In order to sign up to receive regular emails from a site’s mailing list, users must submit information including a valid email address and demographic information such as location and interests. This information will be used in aggregate form only in order to assess general user interest in various internal and third party products and services, and your personal and contact information will not be passed to any other organization for marketing purposes without your consent. Users who choose to sign up for a mailing list will receive regular emails from the site. At any time you will be able to unsubscribe from this mailing list.

Log Files

Like most standard Web site servers we use log files. This includes internet protocol (IP) addresses, browser type, internet service provider (ISP), referring/exit pages, platform type, date/time stamp, and number of clicks to analyze trends, administer the site, track user’s movement in the aggregate, and gather broad demographic information for aggregate use. IP addresses, etc. are not linked to personally identifiable information. We may use a tracking utility that uses log files to analyze user movement.

Purposes for collecting and holding the information

1PL will only collect information necessary and directly related to our functions or services, including:

  • providing management services that you have requested in relation to your business activities such as child care centres, aged care facilities, retail centres;
  • billing and account management;
  • 1PL’s internal business operations and product development;
  • Advising client’s of new services, functions or product launches/updates; and
  • Providing direct market offers for products and/or services provided by 1PL , which 1PL considers to be of interest to its clients.

Storage of personal information

1PL collects personal information through its website, 1 Place and your communications with 1PL. Personal information is stored electronically on cloud-servers based in Australia and New Zealand.

Disclosure of personal information

1PL does not sell your personal information to anyone and the personal information collected through 1 Place is not disclosed to any third parties. 1PL will only use and disclose personal information for the particular purpose for which it was given or a directly related secondary purpose. In doing so, it may be necessary for 1PL to disclose your personal information to various third parties such as banking/financial institutions, contracted service providers, business partners and related companies of 1PL.

Overseas Disclosure

1PL will not ordinarily discloseyour personal information to an overseas recipient. Personal Information collected in Australia through 1 Place is stored on Australian based cloud servers.

Where information is collected outside of New Zealand (for example in Australia) for the internal purposes of 1PL, such as improving internal business operations, product development or mailing lists, this information may be transferred to our New Zealand headquarters for use by our employees located there. Our employees are committed to our privacy policy and we will restrict employee access to your personal information to those directly related to the purpose for which the information was provided.

Legal Disclaimer

Though we make every effort to preserve user privacy, 1PL may need to disclose personal information when required by law wherein we have a good-faith belief that such action is necessary to comply with a current judicial proceeding, a court order or legal process served on 1PL or any of 1 Place, or to act in urgent circumstances to protect our rights. You acknowledge and agree that we are not liable for a breach of privacy in these circumstances.

Business Transitions

In the event 1PL goes through a business transition, such as a merger, acquisition by another company, or sale of a portion of its assets, users’ personal information will, in most instances, be part of the assets transferred.

The 1PL website and 1 Place contain links to other sites. Please be aware that 1PL is not responsible for the privacy practices of such other sites. We encourage our users to be aware when they leave our site and to read the privacy statements of each and every Web site that collects personally identifiable information. This privacy statement applies solely to information collected by 1PL.

Security of data

1 PL will take reasonable measures (including industry-standard techniques) to prevent the loss, misuse or alteration of personal information, but as the internet is not a secure environment, it cannot guarantee that your personal information will be protected from unauthorised access or security breaches.

1PL has procedures in place to deal with a compromise of the security of your personal information and to assess any impacts of a security compromise. Upon becoming aware of any security breaches we will endeavour to take all reasonable action to minimise the impact to you. 1PL will endeavour to advise you at the first reasonable opportunity following discovery of an unauthorised access or security breach of your personal information that is likely to cause serious harm and where required will also advise the relevant government department.

1PL will review its security arrangements from time to time as we deem appropriate.

Some of the information we collect may be gathered through the use of “cookies”. A cookie is a small text file place on your computer’s hard drive or browser by a webpage server.
