They logged 48,048 incidents and raised 6,802 maintenance and operational tickets. Each of those does a different job. Checklists keep the daily routine consistent. Incidents capture what happened. Tickets track what needs fixing, and prove it was fixed.<\/p>\n<p>It is the ticket that often gets done on a whiteboard. And the whiteboard is where the trouble starts.<\/p>\n<h2>Where the trail goes missing<\/h2>\n<blockquote><p>&#8220;I wrote it on a whiteboard and hoped nobody leaned against it and wiped it off with their back.&#8221;<\/p><\/blockquote>\n<p>Ask most services how they track a repair or a hazard, and the answer is manual. A post-it note. A message in Teams or WhatsApp. A line on a whiteboard.<\/p>\n<p>&#8220;I wrote it on a whiteboard and hoped nobody leaned against it and wiped it off with their back,&#8221; says Alanah, Customer Solutions Representative at 1Place, describing her years working in services.<\/p>\n<p>The problem is not just that the note gets erased. It is that nothing behind it survives. &#8220;It just says something needs to be done. Once it is fixed, we wipe it off and forget about it. It never shows that continual improvement.&#8221;<\/p>\n<p>A whiteboard tells you a job exists. It cannot tell you when you first saw the hazard, what you did about it, or whether you did a risk assessment. That trail is the part that matters.<\/p>\n<h2>Why the trail matters<\/h2>\n<blockquote><p>&#8220;Without the visibility, without the tracking, without the recording, you can find yourself in a bit of trouble.&#8221;<\/p><\/blockquote>\n<p>Picture a hole in the soft fall. A child runs, trips, and hurts themselves. That triggers an incident form. Now an assessing officer wants to see the communication log. When did you notice the hazard? What did you do? When did you do it?<\/p>\n<p>&#8220;Without the visibility, without the tracking, without the recording, you can find yourself in a bit of trouble,&#8221; says Alanah.<\/p>\n<p>If the answer lived on a whiteboard, it is gone. You cannot prove reasonable steps you cannot show. A hole in the fence. A snake by the gate. Their job is also to stay in ratio, be present for the children, and support their team on the floor. On top of that, they now have to find the manager, report the hazard, and then carry it.<\/p>\n<p>&#8220;I don&#8217;t stop thinking about it until I know someone has done something about it,&#8221; says Alanah. That mental load is real, and it adds up.<\/p>\n<p>A ticket takes that worry off the educator&#8217;s shoulders. They record it once, it routes to the right person, and they can watch it move. &#8220;With 1Place you don&#8217;t have to put a lot of thought into addressing the situation. On paper, you have to chase it, and stay in ratio, and do everything else at the same time.&#8221;<\/p>\n<h2>The part that closes the loop<\/h2>\n<blockquote><p>&#8220;My favourite version of tickets is how the ticketing system feeds into both the checklists and the incident module. That is closing gaps and closing loops.&#8221;<\/p><\/blockquote>\n<p>This is where a ticket does more than log a task.<\/p>\n<p>In 1Place, a ticket can start life inside a checklist. An opening checklist asks, is the classroom clean and free of clutter? A &#8220;no&#8221; answer can trigger a ticket automatically. No one has to remember to raise it. The educator adds a photo, a date, and notes, with the option to type or use voice to text.<\/p>\n<p>&#8220;My favourite version of tickets is how the ticketing system feeds into both the checklists and the incident module,&#8221; says Alanah. &#8220;That is closing gaps and closing loops.&#8221;<\/p>\n<p>This is what an assurance platform does that a simple task list cannot. The checklist catches the issue. The ticket sends it to the right person and tracks it through to done. If harm occurs, the incident form links back to it. A ticket in 1Place is a record.<\/p>\n<p>That is the shift from &#8220;I think we handled it&#8221; to &#8220;I know we did, and here is the record.&#8221; It protects everyone from classroom to boardroom. Children through hazards tracked and actioned properly. Educators through less carried in their heads. Directors and boards through evidence they can stand behind.<\/p>\n<p>It also means you are never scrambling before an assessment and rating, or a regular assessing officer visit. When every action is documented as it happens, readiness is simply the byproduct of how you work every day.<\/p>\n<p>So the next time a hazard goes up on the whiteboard, ask what happens to it after it is wiped off.
